Delete Your Account and Data — Trial Commander

Effective Date: September 21, 2026 (what the records download contains corrected 27 September 2026)

Changes taking effect on 30 October 2026. On 30 October 2026, the wording quoted below replaces the text of this page that it names. Until then, the current text below stays in force. Notice of these changes was emailed to the administrators of every customer firm; to object to any of them, or to ask about them, write to privacy@trialcommander.com before 30 October 2026.

Under “What is deleted, and when”, the first bullet becomes: “Customer Data (clients, matters, documents, time entries, invoices, trust records, notes, calendar entries, filed email, and audit log events) is kept for at least 30 days after cancellation so you can reactivate. During that time a firm administrator can still sign in to Settings → Billing to resubscribe, download the records file, and download the firm's uploaded documents, read-only (Download uploaded documents): each matter's documents, and the firm's other files, such as client ID images, intake uploads and signed engagement and fee agreements. After that grace period it is deleted from production systems — never sooner than 30 days after cancellation, and never sooner than 7 days after we have emailed a firm administrator that the deletion is coming (Terms § 8.2). Reactivating within the grace period keeps it.”

Under “What is deleted, and when”, the third bullet becomes: “Daily and on-demand backups of the firm are deleted with its data, except one encrypted export of the firm's records (not its uploaded documents) made immediately before the deletion, which is kept so it can be provided to the firm and is deleted once more than 30 days have passed since the firm's data was deleted (Terms § 8.3).”

This page explains how to delete a Trial Commander account and the data associated with it. Trial Commander is operated by iHOST LABS, LLC ("we," "us"). It applies to the web app at app.trialcommander.com and to the Trial Commander app for Android, which is the same service.

The full rules are in the Privacy Policy § 6–7 and the Terms of Service § 8. Where this page and those documents differ, those documents control.

Who can delete what

Trial Commander accounts belong to a law firm, and a firm's data belongs to the firm, not to any one user.

  • A firm administrator can close the firm's account, which deletes the firm's data as described below.
  • An individual user (an attorney or staff member) is removed by a firm administrator from Settings → Team Members. Their sign-in is revoked immediately; records of what they did stay in the firm's audit log for as long as the firm's account exists (Terms § 8.5).
  • A client using the client portal should contact the law firm that represents them. The firm controls the client's file and can correct or delete it; we cannot remove a client's records from a firm's file on the client's own request.

How to close a firm account (deletes the firm's data)

  1. Sign in as a firm administrator at app.trialcommander.com.
  2. Go to Settings → Billing.
  3. Under Close account, download the firm's records file first, and download the documents you need from each matter's Documents tab. You will want a copy for your records and to meet your client file-retention duties.
  4. Choose Close account and confirm.

What the records file contains. It is one JSON file of the firm's database records: contacts, matters, time entries, costs, invoices and payments, trust records, fee agreements, the audit log, and the firm's other records in the app. It does not contain uploaded documents — those are downloaded one at a time from each matter. Some fields that Trial Commander stores encrypted (for example, the text of a fee agreement and the body of filed email) appear in the file in encrypted form, so keep your own copy of anything you need to read from them.

Closing the account cancels the subscription and schedules deletion of the firm's data. You can also cancel by emailing support@trialcommander.com from an administrator's email address.

What is deleted, and when

  • Customer Data (clients, matters, documents, time entries, invoices, trust records, notes, calendar entries, filed email, and audit log events) is kept for 30 days after cancellation so you can reactivate. During that time a firm administrator can still sign in to Settings → Billing to resubscribe or download the records file; downloading uploaded documents from the matters requires resubscribing. After that grace period it is deleted from production systems (Terms § 8.2). Reactivating within the grace period keeps it.
  • Account and billing data held by Trial Commander is deleted together with the firm's other Customer Data.
  • Daily and on-demand backups of the firm are deleted with its data, except one encrypted export of the firm's records (not its uploaded documents) made immediately before the deletion, which is kept so it can be provided to the firm (Terms § 8.3).
  • Database point-in-time backups kept by our hosting provider can hold deleted data for up to 35 days after deletion (Terms § 8.3).

What is kept

  • Payment records held by Stripe, our payment processor, under its own retention policy and legal obligations. Deleting a firm from Trial Commander does not delete them from Stripe.
  • Matters under an active litigation hold are not purged while the hold is in place.
  • Records a law firm is required to keep under its bar rules (for example, Florida trust records, which must be kept for six years). Those duties are the firm's, which is why we ask you to download the records file and the documents you need before closing.

Deleting some data without closing the account

A firm administrator can delete individual clients, matters, documents, contacts, and notes inside the app at any time. Deleted records leave production immediately and age out of backups on the schedule above.
